Share Portal Access

Each client has their own portal URL. Share it directly with the client contacts who should have access.

How clients sign in

When a client visits their portal URL, they create their own account using their work email. No ProLens account exists yet, and they don't need one — your firm doesn't pre-create logins.

After signing up, they land on a portal showing only the projects associated with their company.

Who can see what

A client sees data scoped to their company only. If "Acme Corp" has three projects with your firm, every Acme Corp contact sees all three. They never see other clients' projects, your firm's financials, or your internal team notes.

If you want a particular contact to only see one project, the per-contact scoping is a setting we're adding next. For now, visibility is per-company.

Control what's shown

The portal content is shaped by Settings → Data Visibility. Toggles include:

  • Budget / fee information (off by default)
  • Hourly rates (off by default)
  • Project profitability (off by default)
  • Hours logged
  • Team member names
  • Internal task notes
  • Cross-project visibility

See Control What Clients See for the full list and what each toggle exposes.

Revoking access

Clients manage their own session. To revoke a contact's access, remove their email from the client's contact list in your PSA or change their company in your PSA records — ProLens re-checks the client → company mapping on every portal load.
