Access and Permissions
How roles map to dashboard, settings, and audit visibility.
ProLens has three roles for internal team members plus a separate portal user system for clients.
Roles
- Admin - full access. Manages users, billing, connections, AI features, every dashboard setting.
- Member - dashboard access plus the ability to customize their own widget layout and submit Weekly Pulse entries. Cannot change firm-wide settings or billing.
- Viewer - read-only dashboard access. No customization, no data submission, no settings.
What each role sees
| Capability | Admin | Member | Viewer |
|---|---|---|---|
| Dashboard | Yes | Yes | Yes |
| Customize layout | Yes | Yes (own) | No |
| Weekly Pulse | Yes | Yes | No |
| Settings | Yes | No | No |
| Billing | Yes | No | No |
| Audit log | Yes | No | No |
Team users vs portal users
Team users are your internal staff (managed at Settings > Users). Portal users are your clients (managed per-client at Settings > Client Portals). They never see each other.
Changing roles
Admins can change anyone's role from Settings > User Management. The audit log captures who changed whose role and when.
Promote sparingly. Admin gives full firm-wide access including billing and connections.
