How ProLens Works
From PSA connection to AI insight in three steps.
ProLens turns raw PSA data into operational insight in three stages. The whole pipeline takes minutes from the moment you connect, and refreshes every 15 minutes after that.
1. Connect
Authorize ProLens to read your PSA. One-way, read-only. Credentials are AES-256-GCM encrypted with per-row data encryption keys.
2. Aggregate
ProLens fetches projects, time entries, invoices, deals, people, and bookings. All data is encrypted at the field level with your tenant's unique key before it reaches the database. Syncs refresh every 15 minutes.
3. Narrate
Each morning, a domain-specific AI pipeline reads anonymized aggregates and writes a one-line insight per widget. You see real names; the AI never does.
Refresh cadence
Live data refreshes every 15 minutes from your PSA. AI insights run on a morning schedule (see Your First Dashboard once signed in) and can be manually refreshed up to three times per day per widget.
Where the data lives
Financial records, client names, team member information, and cost rates are encrypted at the field level with your tenant's unique key before they reach ProLens's database. The data is synced on a 15-minute cycle and refreshed with the latest from your platform. A database backup or unauthorized infrastructure access would expose only encrypted text. When you disconnect ProLens, all your data and encryption keys are permanently deleted.
Where the AI runs
ProLens uses Anthropic's Claude API. Before any data leaves the
platform for AI analysis, client names, project names, and people
names are tokenized (Client A, Project Alpha, Person B). The
response is deanonymized on the way back so you read real names on the
dashboard. The AI literally cannot link a number to a real client.
ProLens covers AI cost on every paid plan. There is no per-token billing or usage cap.
